Lessons from experience
Over the last few years, we've had the opportunity to work with organisations across the learning and skills sector, from learning & skills providers, and apprenticeships to awarding organisations and wider education businesses. Every project is different, but the same patterns tend to emerge.
Technology changes quickly. AI evolves almost weekly. Expectations from learners, employers, and educators continue to grow.
Yet despite all that change, the biggest challenges rarely come from the technology itself.
They're usually about data, people, and process.

1. Data quality is the unglamorous prerequisite for AI in education
We've worked on several projects building AI on top of secure systems, and the thing that surprises people is how much of the heavy lifting happens before you write a line of code.
You need good data to begin with. Real, usable data.
It's easy to get excited about the possibilities of AI, whether that's intelligent search, personalised learning, automated administration, or decision support. But those capabilities are only as good as the information they're built on.
Personalisation is becoming table stakes in education. Learners expect systems to work for them, not the other way around. But you can't personalise without clean data.
Getting that right at the start saves months of headaches later.
In many cases, the biggest win isn't choosing a more advanced AI model. It's spending the time to understand where your data comes from, how reliable it is, and whether it's structured in a way that the system can actually use.
2. The people in the budget meeting aren't the people who'll use that thing
When we're talking to leadership about what moves the business forward, we're rarely talking to the people who'll actually be using the system...
Teachers, trainers, and learners are often absent from the room.
That matters because you can optimise for all the right business metrics and still build something that doesn't solve the real problem.
The best projects are the ones where we've pushed to get real users involved early, even informally. It changes what you build.
We've found that even a handful of conversations with end users can completely reshape priorities. Small usability issues, unnecessary admin, or overlooked workflows often become obvious the moment someone demonstrates how they actually work.
That's especially true for organisations delivering apprenticeships or managing large learner cohorts, where a few extra clicks repeated hundreds of times every day quickly become a significant operational burden.
Good software isn't just something that leadership approves, it's something people genuinely enjoy using because it makes their day easier.
3. Compliance needs to be in the conversation from day one, not bolted on at the end
In regulated industries, we've seen compliance come up far too late. Sometimes weeks before launch. Sometimes after.
When that happens, you're either reworking significant parts of the system or shipping with compromises nobody wanted.
The projects that worked best were the ones where we got clients thinking about compliance from the start, built it into the architecture, and made it a feature rather than a blocker.
It's faster, and it builds trust with the people making procurement decisions.
Compliance often gets viewed as something that slows innovation down.
In reality, we've found the opposite.
When it's considered from the beginning, it gives everyone confidence that the platform is being built the right way from day one. That means fewer surprises later, smoother implementation, and less friction when new features are introduced.
For organisations investing in education management software, that's often the difference between a platform that supports long-term growth and one that constantly needs patching.
The common thread
Although these lessons come from different projects, they all point towards the same conclusion: technology is rarely the hardest part.
Successful digital transformation happens when organisations combine good data, involve the right people, and design for compliance from the outset. AI can accelerate great systems, but it struggles to fix weak foundations.
As more organisations explore AI in education and modern digital platforms, those fundamentals will only become more important.
